Regulations at Palace Pakoszów

HOTEL REGULATIONS

§ 1 Subject of the Regulations

The regulations define the subject of services provided, responsibilities, and staying on the Hotel premises, and constitute an integral part of the contract concluded by signing the registration card as well as by performing conclusive (procedural) actions, in particular by making a reservation and/or paying a deposit/advance or the full amount for the stay at the Hotel. By performing the actions mentioned in the previous sentence, the Guest confirms that they have read and accept the terms of the Regulations. The regulations apply to all persons staying on the premises of the Pałac Pakoszów Hotel at Zamkowa 3, 58-573 Piechowice. The regulations are available for review at the Hotel reception and on the website. The guest's guardian is the Hotel Reception.

§ 2 Hotel Day

The hotel room is rented for hotel days. The hotel day lasts from 3:00 PM to 11:00 AM the following day. Requests to extend the stay beyond the indicated period on the day of arrival should be reported by the Guest no later than 8:00 PM on the day preceding the day of check-out from the Hotel. The Hotel will consider the request to extend the stay subject to room availability. The Hotel reserves the right to refuse to extend the Guest’s stay if full payment for the current stay period has not been made in advance or in case of non-compliance with the regulations.

§ 3 Reservation and Check-in

Basis for guest check-in is presenting an identity document with a photograph at the Reception and the obligation to fill out and sign the registration card. In case of refusal to show an identity document in a way that enables check-in, the receptionist has the right to refuse to issue the room key/card.

The hotel guest cannot transfer the room to other persons even if the period for which the accommodation fee was paid has not expired.

The Hotel may refuse to accept a Guest who has grossly violated the Regulations, in particular by causing damage to the hotel's or guests' property, damage to persons, hotel employees, or other persons staying in the hotel.

The Hotel reserves the right to collect a cash deposit or block funds on a payment/credit card in the amount of the total payment for the entire stay and an additional 100 PLN/day for extra services.

In case the Guest resigns from the stay during the hotel day, the Hotel is not obliged to refund the fee for that hotel day.

§ 4 Services and Additional Services

The Hotel provides services according to its category and standard. In case of any complaints regarding service quality, the Guest is requested to immediately report them to the Hotel Reception, which will enable staff to respond and improve the standard of services provided. The Hotel is obliged to ensure Guests: Conditions for full relaxation; Safety of stay, including the confidentiality of information about the Guest; Professional and courteous service regarding all services provided at the Hotel; cleaning of rooms and common areas

The Hotel; Cleaning of the Hotel and necessary repairs of equipment during the Guest's absence, and in their presence only if they express such a wish; Efficient technical service, and in case of malfunctions that cannot be removed immediately, the Hotel will strive to, if possible, change the room or otherwise mitigate the inconvenience. Additionally, upon the Guest's request, the Hotel provides the following services: Providing information related to the stay and travel; Wake-up calls; Storage of Guest’s luggage – The Hotel may refuse to accept luggage, or store luggage outside the Guest’s stay dates, and luggage not having the characteristics of personal luggage; Room cleaning during the stay - including changing bedding, towels, vacuuming, disinfection; Cleaning service is provided once daily upon the guest’s request, according to instructions available in the room, between 9:00 AM and 3:00 PM and does not apply on the day of check-in and check-out; Ordering a taxi.

§ 5 Guest Responsibility

Children under 16 years old should be under the permanent supervision of legal guardians while on Hotel premises. Legal guardians will bear material liability for any damage to fixtures and technical equipment caused by children. The Hotel guest bears full material liability for any kind of damage or destruction to hotel fixtures and technical equipment caused by themselves or their visitors or persons visiting these visitors. The Hotel reserves the right to charge the Guest's credit card for damages after departure. The Hotel reserves the right to an individual assessment of damages depending on the work necessary to remove the damage. In case of violation of the Regulations, the Hotel may refuse to provide services to the person violating them. Such a person is obliged to immediately comply with the Hotel's demands, pay for any damages, and leave the Hotel. When leaving the room, the Guest should, for safety reasons, turn off the TV, turn off the lights, close the taps, and check that doors, including balcony doors, are locked. The Guest accepts responsibility for the issued room card and key. In case of loss or damage to the card and/or key, a fee of 100 PLN is charged. In case of unjustified manual activation of the fire alarm ROP in the hotel corridor, the Guest will be charged a penalty of 3000 PLN. Use of the wellness zone outside opening hours is prohibited - in case of non-compliance with the Hotel rules, the Guest will be fined 2000 PLN.

§6 Hotel Responsibility

The Hotel is responsible for loss of items brought by persons using its services within the scope specified by the provisions of the Civil Code. The Guest should notify the Reception immediately upon noticing damage. The Hotel is not responsible for damage to or loss of the Guest’s car or other vehicles, items left in them, or live animals regardless of whether these vehicles were parked in the hotel parking lot or any other place on the hotel premises.

§7 Return of Left Items

Personal items left by a departing Guest in the hotel room will be sent to the address indicated by the Guest at their expense. If no such instruction is received, the Hotel will store these items for 30 days, after which they will be destroyed. The Hotel is not responsible for food left in the room and is not obliged to store it after Guest departure.

§8 Night Quiet

Night quiet hours are in effect at the Hotel from 10:00 PM to 6:00 AM the following day.

§9 Policy towards Children

Children under 13 years of age may stay at the Hotel only under the supervision of an adult. Guardians are obliged to provide due care for the child staying with them at the Hotel.

1. Children aged 0 – 4 years - according to the price list. 2. An extra bed for a child aged 4 to 11 years - according to the price list. 3. An extra bed for persons over 11 years of age - according to the price list. 4. Baby cot – free of charge. 5. Baby cot requests should be made at the reservation stage. The number of cots is limited.

§10 Policy towards Animals

The Hotel accepts pets according to the applicable price list and separate regulations available to Guests with animals at the hotel Reception. Important information: The Guest should notify the intention to arrive with a pet when making the booking. The Hotel does not accept dog breeds considered aggressive. The list of aggressive dog breeds is based on the Regulation of the Minister of Interior and Administration dated April 28, 2003: Pit bull terrier, Majorca Mastiff, American Bulldog, Argentine Dogo, Canary Mastiff, Tosa Inu, Rottweiler, Akbash dog, Anatolian Karabash, Moscow Watchdog, Caucasian Shepherd. Only healthy animals with a health book, current vaccinations, and confirmation of deworming are accepted to the Hotel. The Hotel Reception may require presenting the health book upon arrival, and if vaccinations are missing or outdated, it may refuse permission for the animal to stay in the hotel and on the premises for the safety of other Guests. The pet owner agrees to provide appropriate equipment, e.g., leash, collar, muzzle, bed, litter box, food and water bowls, litter, waste bags. Limited numbers of food and water bowls are available at the hotel reception. Use of hotel towels and bedding for the animals is prohibited. The Hotel does not allow animals on beds or sofas, nor using the room or other hotel interiors as a place to relieve themselves. The owner is liable for the costs of repair or cleaning in case of soiling the room interiors (including carpets, mattresses, or other equipment). The valuation is made by the Hotel Management. Animals may stay in designated zones in the hotel, where they must be walked on a leash, and animals that may pose a threat must also wear muzzles and be supervised by an adult guardian. In particular, animals are prohibited from entering the wellness and SPA areas. An exception is a guide dog.

The pet owner is fully financially and legally liable for damages caused by their animal to other persons, hotel property, and Guests.

§11 Minor Protection Standards

As of August 15, 2024, Pałac Pakoszów Hotel has adopted and committed to observe the procedure regarding Minor Protection Standards (persons under 18). Therefore, guests checking in may be asked by the staff to present documents confirming the minor's identity or documents certifying kinship/relationship between adults and the minor. These measures aim to ensure all Guests, especially children, comfortable and safe rest conditions at the hotel. The procedure was introduced in accordance with the Act of May 13, 2016, on counteracting threats of sexual crime and protection of minors, with subsequent amendments.

§12 Complaints

Guests have the right to file complaints in case of noticing deficiencies in the quality of services provided. All complaints are accepted by the reception. A complaint should be made immediately after noticing the deficiencies in the standard of services.

§13 Additional Provisions

Smoking tobacco and e-cigarettes outside designated areas is strictly prohibited in the Hotel. Violation of this ban will result in a charge of 5000 PLN to the guest.

It is forbidden to store hazardous materials, weapons, ammunition, flammable, explosive, or illumination materials in hotel rooms.

Solicitation and peddling, leaving advertising or election materials, as well as gambling activities are prohibited on the Hotel premises.

Guests are not allowed to make any changes to hotel room furniture and equipment.

Hotel guests may not use devices or items that may cause risk of damage to hotel property or other Guests, especially devices that may cause fire or flooding.

The use of kettles provided as room equipment and other devices constituting room equipment is allowed.

We kindly inform that from January 1, 2025, a local fee according to the Act on local fees will be in force, amounting to 2.10 PLN. The fee applies to persons booking a stay of more than one night - the fee for stays longer than two nights is charged from the first started night and must be paid upon check-in.

The Hotel reserves the right to withdraw from the hotel service contract up to 7 days before execution without giving a reason, especially in cases of possible failure to meet offer standards.

VOUCHER REGULATIONS

§ 1 General Provisions

This regulation defines the rules for sales and redemption of vouchers. The issuer of vouchers is Europlan Zakopane Sp. z o.o. Moniuszki 1A 00-033 Warsaw VAT ID 5252924924. The issuer offers the following types of vouchers: - cash vouchers, - stay vouchers. Vouchers are recorded by the Issuer, each voucher has its individual identification number. The validity term is indicated on the voucher. The Voucher validity date is not extendable. Vouchers may include restrictions on availability of dates, in particular restrictions regarding stays on dates such as "long weekends", Christmas holidays, New Year's Eve, New Year, Easter holidays. A stay voucher can only be used entirely and at once. Vouchers are non-refundable and cannot be exchanged for cash.

§2 Conditions for Voucher Use

A voucher may be redeemed with the issuer at the Pałac Pakoszów facility. The Issuer is not responsible for loss or damage of the Voucher from the date it is handed over to the Buyer. The Buyer is obliged to make an advance reservation for the stay. The basis for service execution by the Issuer is prior presentation of the Voucher or providing its number. Buyers are not entitled to a refund of the balance in case the entire amount is not used. When the service price exceeds the Voucher value, the Buyer or voucher holder is obliged to pay the difference. The Issuer has the right to refuse to redeem the Voucher in the following cases: - damage to the Voucher preventing reading its individual identification number - reservation not made in accordance with the content

In matters not regulated by this Regulation, the relevant provisions of the Civil Code shall apply.

REGULATIONS FOR STAYING WITH A PET

§ 1

PETS

Pets (hereinafter also referred to as "pets") are allowed on the Hotel premises upon meeting the rules established by the Hotel in these regulations.

The animals accepted by the Hotel are: dogs, cats.

The Hotel may refuse to accept dogs of breeds listed in the Regulation of the Minister of Internal Affairs and Administration regarding the list of dog breeds recognized as aggressive, reptiles, amphibians, arthropods and rodents, as well as other animals deemed aggressive by the Hotel Management.

§ 2

RULES FOR ACCEPTANCE OF PETS IN THE HOTEL

The condition for accepting a pet to the Hotel is to report arrival with the pet at the time of making the reservation by providing the breed/species and confirmation of such reservation by the Hotel.

The stay of a pet in the Hotel is subject to an additional fee. The fee is 90 PLN for each started hotel day.

In the absence of prior notification to the reception, as mentioned in §2 sec.1, the Hotel may refuse to accept the animal.

By deciding to stay at the Hotel with a pet, the guest accepts the terms of these regulations.

The Hotel only accepts guests with healthy pets that have a health booklet if it is required for the given animal, with confirmation of current vaccinations and deworming. The pet owner is obliged to have a valid health booklet during the stay and present it upon staff request.

The Hotel has the right to refuse acceptance of sick pets or those without required documents confirming current vaccinations, as well as aggressive animals.

The owner declares that the pets are healthy and do not pose a threat to other people or animals.

§3

OWNER'S OBLIGATIONS

The owner of the animal is responsible for its behavior in the Hotel and for not disturbing other Guests, especially during quiet hours.

The owner must supervise the animal at all times.

Dogs must be kept on a leash on the Hotel premises. Other domestic animals must be transported in dedicated carriers. In special cases, the Hotel reserves the right to order the use of a muzzle.

Dog owners are required to regularly walk their dogs for physiological needs and clean up after them. Owners of other animals must have a litter box.

The owner is obliged to clean up any mess left by their pet.

The obligation to clean up after a guide dog does not apply to blind persons and/or those using wheelchairs.

The owner must ensure the pet has constant access to clean, fresh water, food, and necessary items such as a playpen, cage, bowls, waterer, etc.

§4

ROOM CLEANING BY STAFF DURING THE STAY WITH A PET

The owner must daily agree with the reception on the time for room cleaning service by the Hotel staff.

To minimize stress for the animal, the owner must be present during cleaning or take the pet for a walk while cleaning is in progress.

If the animal is used to being left alone without the owner, each time leaving the room, a sign indicating the presence of a pet must be placed on the door. In case of room contamination by pets, cleaning is treated as a non-standard service and involves an additional fee of 500 PLN.

§5

OTHER HOTEL SERVICES

There is a strict ban on bringing pets into the SPA and wellness area, conference rooms, library, Baroque hall, Tiled hall, and outdoor children's playground.

Bringing pets into the breakfast room and à la carte restaurant is allowed.

In the breakfast room and à la carte restaurant, it is forbidden to seat pets on chairs and sofas, as well as to use hotel tableware and porcelain for feeding them. Feeding pets is allowed only using bowls brought by owners or provided by the staff.

§6

OWNER'S RESPONSIBILITY

The owner is obliged to familiarize themselves with these regulations, sign them, and strictly comply with them.

The pet owner is financially responsible for all damages caused by the pet, both to the Hotel's property and to hotel guests.

Damages caused by the animal in the Hotel will be individually assessed by the Hotel, and their costs will be charged to the owner.

In case of repeated complaints from other Guests regarding the pet's stay and non-compliance with these pet stay regulations, the Hotel reserves the right to immediately terminate the Guest's stay with the animal, charging the full stay fee.

SPA Room Regulations

  1. Booking and Canceling Appointments
    a. Treatments at our SPA room must be booked in advance – in person, by phone, or through the hotel reception.
    b. To ensure the highest quality of service, please arrive 5 minutes before the scheduled treatment. Being late may result in a shortened treatment without a price change.
    c. A hotel guest who does not show up for the scheduled treatment and does not cancel it at the hotel reception at least 4 hours before the scheduled time will be charged the full amount for the treatment.
  2. Preparation for the Treatment
    a. Before starting the treatment, please inform the staff about any health contraindications, allergies, or pregnancy.
    b. For some treatments, it is recommended to avoid heavy meals and alcohol consumption beforehand.
  3. Behavior Rules
    a. Please maintain silence and mute mobile phones.
  4. Contraindications and Liability
    a. The SPA room is not responsible for any side effects resulting from withholding health information.
  5. Payment Rules
    a. Payments for treatments can be made in cash, by card, or charged to the hotel bill at the hotel reception.
    b. According to point 1c, failure to cancel the treatment at least 4 hours before its start results in full charge of the service cost.
  6. Personal Data
    a. Customers' personal data are processed solely for the purpose of providing SPA services and in accordance with applicable GDPR regulations.

Standards for the Protection of Minors
Taking into account the legal obligation resulting from the provisions of the Act of May 13, 2016, on counteracting threats of sexual crime and protecting minors, as well as the content of the United Nations guidelines on business and human rights, recognizing the essential role of business in ensuring respect for children's rights, Pałac Pakoszów adopts the Standards for the Protection of Minors. This document constitutes a set of principles and procedures applied in case of suspicion that a child staying at Pałac Pakoszów is harmed and for preventing such threats, taking into account the situation of disabled children and children with special educational needs.

The Standards for the Protection of Minors are implemented based on the principles listed below:
Pałac Pakoszów conducts its operational activities with respect for children's rights as persons particularly vulnerable to harm.
Pałac Pakoszów acknowledges its role in conducting socially responsible business and promoting desirable social attitudes. The hotel especially emphasizes the importance of the legal and social obligation to report to law enforcement authorities any suspicion of a crime against children and commits to training its staff in this regard.

General Principles

  1. Pałac Pakoszów commits to educating its employees about circumstances indicating that a child staying on the premises may be harmed and about ways to respond quickly and appropriately to such situations. The property may conduct such education through various forms of training, e.g., external training, internal training, e-learning, educational materials developed by the hotel and available to employees, free educational materials developed by other organizations.
  2. Every employee, before starting work, is familiarized with the Standards for the Protection of Minors, which is confirmed by signing a statement and committing to follow the principles and procedures contained in this document.
  3. Employees working with children undergo periodic training, which is documented by the employer.
  4. Pałac Pakoszów will appoint a Coordinator for the Standards for the Protection of Minors.

Principles of Safe Employee-Child Relationships

All employees, as well as other adults who have contact with children on the premises with the consent of the facility, are obliged to adhere to the following principles. The fundamental principle of all actions undertaken by employees who have contact with children on the hotel premises is to treat the child with respect and consider their dignity and needs. It is unacceptable for employees or other adults to use any form of violence against a child.

Behaviors and Practices Expected of Employees

  • In communication with a child, be patient and respectful.
  • Listen carefully to the child and provide answers appropriate to their age and the situation. When communicating with a child, try to keep your face at the level of the child's face.
  • Assure the child that if they feel uncomfortable with any situation, they can tell you or another designated person and receive help.
  • Inform the child where the Standards for the Protection of Minors are located in Pałac Pakoszów in a version understandable to them. Ensure that if they have questions, they may approach you or another designated person.
  • Treat all children equally regardless of their gender, sexual orientation, ability/disability, social, ethnic, cultural, religious status, or worldview.
  • Ensure a safe space. If children are present in the area where you work, make sure the equipment and furnishings are used according to their intended purpose and the environment is safe.
  • If you see a child/children left unattended and the situation may indicate a threat to the child's safety – take action to locate the parent/guardian.

Unacceptable Behaviors and Practices by Employees Towards Children on the Premises

  • You must not shout at, embarrass, humiliate, neglect, or insult a child.
  • You must not hit, shove, push, or in any way violate the physical integrity of a child unless the child's health or life is at risk.
  • You must not form any romantic or sexual relationships with a child nor make inappropriate proposals. This includes sexual comments, jokes, gestures, and providing erotic and pornographic content to children regardless of its form.
  • You must not record or photograph a child for private or official purposes without the consent of the child's parents/guardians and the child. The exception is when the child's image is only a detail of a whole (e.g., gathering, landscape, public event).
  • You must not contact a child via private communication channels (private phone, email, messengers, social media profiles) or meet with a child outside the workplace.
  • You must not offer a child alcohol, tobacco products, or illegal substances.
  • Never touch a child if they do not want it or in a way that could be considered indecent or inappropriate.
  • If you witness any of the above behaviors and/or situations from other adults or children, always inform your direct supervisor.

Basic Principles

  1. There is justified suspicion of child harm if:
    a. The child disclosed to the employee that they are being harmed,
    b. The employee observed the harm,
    c. The child has signs of harm (e.g., scratches, bruises), and when asked answers inconsistently and/or chaotically, or other circumstances may indicate harm (e.g., finding pornographic materials involving children in the room of an adult).

  2. An employee who has justified suspicion that a child staying on the premises is or has been harmed should immediately inform a supervisor/decision-maker, who reports to the police.
    In case of an existing threat to the child's safety, the employee contacts the police by calling 112 and describes the circumstances of the incident. Regardless of the above, they inform the Coordinator about the event.

  3. Efforts should be made to hinder or prevent the child and the person suspected of harming the child from leaving the premises.
  4. In cases specified in the Code of Criminal Procedure, a citizen's arrest of the suspected person may be made.
  5. In all cases, the child's safety should be ensured. The child should remain under the care of an employee until the police arrive.
  6. In case of justified suspicion of contact between the child and the perpetrator's biological material (e.g., semen, saliva), prevent the child from washing or eating/drinking until the police arrive.
  7. After the police take over the child, secure monitoring materials and other important evidence.
  8. After the intervention, report the incident to the Coordinator, who documents it in the event log.
  9. If the child's life or health is endangered, immediately notify the police, supervisor, and Coordinator.
  10. If the child is harmed by an employee, the Coordinator should investigate the matter and recommend personnel actions.
  11. If the perpetrator is an external company's employee – it is recommended to ban their access to the premises and possibly terminate cooperation.
  12. If a child under 7 years old is left unattended, notify the supervisor, who takes further steps and possibly informs the police.

Reception Work Standards

  1. One effective form of preventing child harm is to establish the identity of the child staying on the premises and their relationship with the adult accompanying them.
  2. The receptionist takes all possible steps to identify the child and their relationship with the adult accompanying the child.
  3. To identify the child and their relationship to the person they are with on the premises, you should:
    a. Request the child's identity document or another document confirming that the adult has the right to care for the child (e.g., ID card, school ID, mObywatel app, Internet Patient Account, court ruling).
    b. If there is no document or refusal to show one – ask both the child and adult about their relationship.
    c. If the adult is not a parent or legal guardian, they should present a document (e.g., notarized consent or written parental consent for travel). If absent – ask to fill out a relevant statement prepared by the property.

  4. If the document is refused or relationship not provided, explain that the procedure aims to ensure the safety of children staying at Pałac Pakoszów and results from legal regulations.
  5. If the conversation does not eliminate doubts, discreetly inform the supervisor and security staff (if present), without arousing suspicion (e.g., a pretext may be the need to use the reception back office).
  6. From the moment doubts arise, both the child and adult should, if possible, remain within the hotel employee's sight and should not be left alone.
  7. The supervisor takes over the conversation with the adult to obtain further explanations.
  8. In case of confirmed suspicions of an attempted or committed crime – the supervisor notifies the police and applies further procedures as in the case of child harm.
  9. If employees from other departments (e.g., housekeeping, restaurant, relaxation area) notice a suspicious situation, they are obliged to immediately inform the supervisor or decision-maker.
  10. Depending on the situation, the supervisor takes measures to clarify or conducts an intervention and notifies the police.

FISHING REGULATIONS ON THE PREMISES OF PAKOSZÓW PALACE

To purchase a one-day entry ticket, you must buy the service at the reception of Pakoszów Palace and before entering the fishing area, you are required to show a landing net and sign the regulations.

Price list: - one-day fishing at a fishing spot – 50 PLN

  1. The catch and release rule applies to the fishing area, meaning the absolute prohibition of killing and taking caught fish.
  2. Fishing takes place from the shore only at designated spots on pond 2.
  3. Accompanying persons may be present at the spot without the possibility to fish.
  4. Occupying a spot and fishing should be done in such a way as not to disturb other anglers. Each angler may use a maximum of two rods.
  5. Each person must carry an identity document to present when purchasing a permit.
  6. Only persons with a valid permit have the right to stay at the fishing area.
  7. When fishing, only barbless hooks must be used.
  8. The following are prohibited at the fishing area:
  • littering the area
  • destroying vegetation,
  • parking cars outside designated spaces (after unloading equipment, the car must be immediately moved to the parking lot),
  • relieving oneself outside the restroom,
  • lighting fires,
  • bathing in the fishing area,
  • loud behavior, drinking alcohol.

9. The fishing spot must be left clean and tidy (take your trash with you). It will be inspected by a hotel employee before departure.

10. The owner of the fishing area is not responsible for accidents or items left at the fishing area.

11. Persons who cause damage to property at the fishing area may be held liable under civil law.

12. The person who purchased the fishing permit is responsible for any accompanying persons.

13. Daily fishing time is from 8:00 AM to 7:00 PM from May 1 to September 30, and from 9:00 AM to dusk from October 1 to April 30.

14. Violating the regulations and behavior inconsistent with generally accepted standards will result in being asked to leave the fishing area without a refund and refusal to sell fishing permits in the future.

15. By purchasing a license you consent to potential checks of your vehicle and personal belongings by the fishing area manager or caretaker if a regulation violation is suspected.

16. The value of stolen or intentionally damaged fish is 1000 PLN per kilogram for each species.
